Creating Labels

Labels are not just labels. The label program can create labels for addresses, file folders, business cards and more.

Labels are not just labels. Avery Dennison makes labels of all sizes including: address, shipping, file folder, diskette, CD, business cards and more. All have pre-made templates or easy to follow directions to create the template. Purchase labels at any office supply store. Look for the template number on the front of the box. For example address labels #5660, they are 1 inch high and 2.83 inches wide.

An easy way to create merge labels is to follow the icons. Open Microsoft Word, click on TOOLS, Letters and Mailings, Show Mail Merge Toolbar. Start on the left side and work to the right, number everything from 1 - 22.

The Process:

Label Setup -

Start with icon #1, click on labels, OK. The Label Options dialog box will open. Click on: Laser and Ink Jet. Label products = Avery Standard, scroll through the "Product number list," click on the number of the label you purchased, then click OK. Save the file as: MM Labels - Project Name

Open Data Source, or Create it -

Create a data source using Excel. Open Microsoft Excel, in Row 1 type the column headings. Row 2 and beyond, type the address and other information. Be sure to save this list in a location you can remember. Save the file as: MM Data Source - Project Name.

To open an existing data source, click on icon #2, find the location of the file and open. The Select Table dialog box will open, click on Sheet1$, (if you are using Excel) click OK. All of the label boxes except the first will now say .

Mail Merge Recipients -

Click on icon #3, the Mail Merge Recipients form will open. Click on the small box in front of the name to include or exclude, click OK.

Insert Address Block -

Move the insertion point to the first block of the labels document. Click on Icon #4 to insert the Address Block. Your first label will look like .

Propagate Labels-

Click on icon # 11, this will copy the to all of the labels.

Merge to new document -

Click on icon #19 to merge the document and the list of names. By merging to a new document rather than the printer, you have one more chance to look at your letters and make changes.

Print the labels
