Microsoft Outlook has integrated features that combine Email, a Calendar, Tasks list and a Note pad. Some items also come from Word, Microsoft's word processing program.

Reply to a Message

Open and read your message. To send a reply, left click on the REPLY button on the standard toolbar. The message will open and you will be placed into the main message area. Type your response. Send the reply the same way you send your new messages.

Forward a Message

Open and read your message. To forward, left click on the FORWARD button on the standard toolbar. The message will open and you will be placed into the send To... box. Type the address of the person you want to receive the message. Send the message the same way you send your new messages.

Attach/Insert a File

Create your email message in the usual way. While in the main message area, left click INSERT, FILE. The insert file dialog box will open, change to the directory where your file is located, then left click on the file to be inserted. Click on INSERT.

You should always attach your file as a separate document. Files that are pasted into the message box loose any special formatting. For example, tabs and margins will be lost.

Attach/Insert a Picture/Graphic

Create your email message in the usual way. While in the main message area, click INSERT, Picture, From File. The insert picture dialog box will open, change to the directory where your picture is located, then click on the picture to be inserted. Click on Insert.

Delete Email Messages (Standard Toolbar)

Click on the message to be deleted, click on the "X" on the Standard toolbar to delete the message. Periodically you must purge your deleted messages.

To purge deleted messages, left click EDIT, Purge Delete Messages.

Periodically the Sent Items folder should be emptied. Left click on the SENT ITEMS folder (inside bottom of the folder lists), EDIT, Select All, left click on the "X" on the Standard toolbar.

Spell Check Messages Before Sending

You can set your spell checker to automatically spell check all of your outgoing messages when you click on SEND. Spell checker should always be on.

Left click on Tools, Options, Spelling left click on the little white boxes before:

Always suggest replacements for misspelled words

Always check spelling before sending

Ignore message text in reply or forward

Left click on OK when finished.
